Site Management Organization

Our Services

AlphaPlus provides end-to-end site management support designed to help research sites and sponsors execute clinical trials with operational efficiency, regulatory alignment, and a steadfast commitment to participant safety and data quality.

Comprehensive SMO Support

Each service area is structured to address the operational demands of modern clinical trials, from first feasibility contact through final archival.

Independent Third Party Monitoring

AlphaPlus provides independent, objective monitoring services conducted by qualified clinical monitors who are not affiliated with the sponsoring organization, ensuring unbiased oversight of trial conduct and data integrity. Our third-party monitoring covers source data verification (SDV), protocol compliance reviews, investigator site file inspections, and regulatory adherence assessments. This service supports sponsors seeking an additional layer of quality assurance and helps sites maintain inspection readiness throughout the trial lifecycle.

Documents Translation

AlphaPlus supports the accurate translation of clinical trial documents to facilitate multi-site and multinational study operations. Our translation coordination services cover essential trial materials including informed consent forms (ICFs), patient-facing documents, regulatory submissions, protocol summaries, and study-related correspondence. Translations are coordinated to maintain scientific accuracy and regulatory acceptability, ensuring that language barriers do not impede participant understanding, site compliance, or regulatory review processes.

Patient Recruitment

Our recruitment coordination support helps sites implement organized, ethical strategies to identify and engage eligible study participants. AlphaPlus assists in coordinating outreach efforts, referral pathways, and site-level engagement initiatives in alignment with IRB-approved recruitment plans. We facilitate the pre-screening and enrollment scheduling process to support a structured participant flow from initial contact through informed consent, working to uphold participant safety and regulatory compliance at every stage.

Dedicated CRC Deployment

AlphaPlus provides on-site Clinical Research Coordinator (CRC) support, placing qualified coordinators directly at investigational sites to ensure continuity and focused attention on each study. Our CRCs are trained to align with protocol-specific requirements and sponsor expectations, facilitating efficient visit scheduling, source documentation, and data entry coordination. They serve as a direct liaison between site staff and sponsor or CRO teams, helping to maintain consistent communication and protocol adherence throughout the trial lifecycle.

Study Start-Up & Feasibility

AlphaPlus coordinates thorough feasibility assessments to help sites and sponsors evaluate trial suitability before commitment. Our team supports site readiness evaluations by reviewing infrastructure, staffing capacity, and operational workflows. We assist in the coordination of essential regulatory documents, including IRB/EC submissions and investigator agreements, to help minimize start-up timelines. From first contact through site initiation visit preparation, our support is structured to facilitate an organized and compliant study launch.

TMF / Quality Archival

AlphaPlus supports the systematic organization and maintenance of the Trial Master File (TMF), ensuring essential documents are filed accurately in accordance with ICH-GCP guidelines and sponsor requirements. Our team assists with ongoing document quality reviews, version control tracking, and gap analysis to help sites maintain inspection-ready files throughout the study. At study close-out, we coordinate archival activities to ensure complete, compliant, and retrievable documentation in support of long-term regulatory obligations.

Site Activation

AlphaPlus provides comprehensive end-to-end coordination support for site activation, tracking each milestone from regulatory submission through final approval and green light to enroll. Our team assists in coordinating site contracts, budget negotiations, and Clinical Trial Agreements (CTAs) to help reduce activation cycle times. We also support the preparation and maintenance of the Investigator Site File (ISF) and ensure that all pre-activation requirements are documented and fulfilled in accordance with sponsor and regulatory standards.

System Audit

AlphaPlus conducts comprehensive system audits to assess the integrity, reliability, and compliance of clinical trial systems, processes, and electronic data management platforms. Our audits evaluate system validation status, access controls, audit trails, and adherence to applicable regulatory requirements including 21 CFR Part 11 and Annex 11 standards. Findings are documented in a structured audit report with actionable corrective and preventive action (CAPA) recommendations, supporting sponsors and sites in maintaining robust and inspection-ready system environments.

CRO Qualification

AlphaPlus supports sponsors in the structured evaluation and qualification of Contract Research Organizations (CROs) to ensure that outsourced activities are performed by capable, compliant, and experienced partners. Our qualification assessments review CRO SOPs, quality management systems, staff training records, previous audit findings, and regulatory compliance history against sponsor-defined selection criteria. We assist in preparing qualification questionnaires, conducting on-site or remote assessments, and documenting outcomes to support informed vendor selection decisions aligned with ICH-GCP E6(R2) oversight obligations.

Independent QA Audits

AlphaPlus delivers independent Quality Assurance (QA) audits conducted by experienced auditors with no direct involvement in the study being assessed, ensuring objective and unbiased evaluation of trial conduct. Our QA audit scope encompasses investigational site audits, clinical data audits, vendor audits, and process audits against applicable ICH-GCP guidelines, regulatory requirements, and sponsor protocols. Detailed audit reports outline observations, non-conformances, and recommended CAPAs, providing sponsors and sites with the independent assurance needed to maintain data credibility, participant protection, and regulatory compliance throughout the trial lifecycle.

Our Approach

A structured, phased methodology guides every engagement — from initial evaluation through final close-out — to support operational consistency and regulatory alignment.

  1. Step 1:

    Feasibility

We begin with a detailed site feasibility assessment, evaluating patient population access, investigator qualifications, infrastructure readiness, and operational capacity to support the proposed protocol.

  2. Step 2:

    Site Activation

Following feasibility, our team coordinates regulatory submissions, contract negotiation, ISF preparation, and SIV support to efficiently activate each site and achieve first-patient-in readiness.

  3. Step 3:

    Study Execution

During active study conduct, AlphaPlus provides CRC deployment, recruitment coordination, ongoing TMF maintenance, sponsor/CRO communication support, and protocol compliance monitoring to keep sites operating smoothly.

  4. Step 4:

    Close-Out

At study conclusion, we coordinate systematic close-out activities including final TMF review, regulatory notifications, site decommissioning documentation, and archival preparation to ensure a compliant and complete study record.
